1. Purpose of this page
This page explains, at a high level, how Kytrix Travel expects to be licensed and insured once we start running regular services. It's designed to be readable, not to replace:
- our Booking Conditions; or
- the detailed terms and policy documents held with our insurers and regulators.
If there is ever a conflict between this overview and the specific terms on your booking confirmation, or with the licensing/insurance documentation in place at the time, those documents take priority. Nothing here affects your statutory rights.
2. Operator licensing – what we're working towards
Kytrix Travel is being set up to operate as a licensed passenger transport operator for small groups, using minibuses/mini-coaches typically up to 16 passenger seats.
In practice, this means we expect to hold, or operate under:
- an appropriate operator's licence for passenger vehicles in Great Britain, granted by the relevant Traffic Commissioner; and
- a named, professionally competent Transport Manager responsible for compliance with maintenance, safety and record-keeping duties.
The exact type and scope of licence (for example, standard national vs. restricted) will depend on our final operating model and the vehicle fleet we run. We'll publish our licence details once they are confirmed, and you'll be able to request them at any time.
3. Use of partner operators and subcontracting
Especially in the early stages, and for certain trips or oversubscribed dates, Kytrix Travel may:
- charter vehicles from other licensed operators; or
- sell seats on trips operated by trusted partners, where another operator physically runs the vehicle.
Where that happens, we expect to:
- work only with operators who hold appropriate licences and insurance for the type of work involved;
- make it clear (where reasonably possible) who the operating carrier is for your trip; and
- ensure responsibilities between Kytrix Travel and the partner operator are contractually defined.
Your booking confirmation and trip information will explain whether Kytrix Travel, a partner, or a combination of both will be responsible for operating your service.
4. Insurance – what we expect to cover
We plan to hold a set of insurance policies appropriate for a small-group passenger transport operator. These are expected to include (but may not be limited to):
- Motor insurance for hire and reward – covering vehicles while carrying passengers for payment, in line with legal requirements.
- Public liability insurance – covering certain claims by members of the public arising from our operations (subject to policy terms and exclusions).
- Employer's liability insurance – where we have staff, meeting UK legal requirements for employers.
- Professional / management liability – where appropriate, covering certain management and decision-making risks.
Exact limits, deductibles and exclusions are set out in our policy documents, which are not all reproduced here. If you're organising a trip and need to check specific cover (for example, for a school or youth group), contact us and we'll confirm what we can in writing.
5. Your own insurance and responsibilities
Our licensing and insurance sit alongside – not instead of – your own responsibilities. In particular:
- For many trips, especially where you're connecting with flights, cruises or hotels, we strongly recommend that passengers and group leaders arrange appropriate travel insurance.
- Our policies will not usually cover wider losses such as missed flights, accommodation, or consequential financial loss, except where the law requires it and the policy specifically allows.
- Group organisers (for example, schools, clubs or companies) remain responsible for their own internal risk assessments, consent forms and any additional insurance they wish to put in place.
If you're unsure what you might need, it's a good idea to speak with your own insurer, broker or risk adviser.
6. Safety systems and compliance culture
Licensing and insurance are only part of the picture. We are also building systems and culture around:
- vehicle maintenance, safety inspections and defect reporting;
- driver checks and training, including licence, medical and DBS checks where appropriate;
- drivers' hours and rest compliance (where applicable under PSV / EU / GB domestic rules); and
- safeguarding and behaviour standards for youth groups and vulnerable passengers.

7. Before our own licence is active
There may be a period where Kytrix Travel is focused on marketing, product development and community engagement (for example, route voting, gift cards, founding membership) before our own operator's licence is fully active.
During that period:
- we may sell vouchers, gift cards or memberships that are redeemable against future travel, subject to our terms; and
- any actual passenger-carrying services we help organise will either be:
- run under the licence and insurance of a fully licensed partner operator; or
- clearly framed as not yet a Kytrix-operated service.
We'll be transparent about who is operating which services at each stage.
8. Information we can provide on request
Once our licences and insurance arrangements are live, you will be able to request, within reason:
- our operator licence number and the category of licence held;
- confirmation of our public liability and motor insurance arrangements in principle (not full policy documents); and
- generic information for risk assessments, such as typical vehicle types, safety procedures and supervision expectations.
For schools, youth groups and organisations, we'll do our best to support your due diligence processes while also protecting staff and commercial confidentiality.
9. Limits and changes to this overview
This page doesn't list every clause, exception or policy condition. Instead, it's a guide to how we're approaching licensing and insurance as a small, community-minded operator.
As our fleet, services and partnerships evolve, we may need to change:
- our licences (for example, to add vehicles or bases);
- our insurance arrangements (for example, limits or providers as the business grows); and
- details of how responsibilities are split between Kytrix Travel and any partner operators.
When we make material changes that affect customers, we'll update this page and, where appropriate, our Booking Conditions and booking information.
